Job Opening – Director of Operations for the National Veterans Foundation

Type: Full-Time – 40 hrs/wk
FLSA Status: Exempt
Work Schedule: In-office and work remotely with flexibility in setting weekly schedule (available evenings and weekends as required for Foundation and community events)
Reports to: President and Founder (Executive Director)
Location: Los Angeles, CA (LAX vicinity)

THE ORGANIZATION

The National Veterans Foundation (NVF), established in 1985, provides wide ranging assistance to military veterans and families, of all services and eras, including active duty members, via a nationwide toll-free crisis hot-line. Trained NVF counselors, who are veterans themselves, assist callers with immediate and long-term needs including VA medical services, PTSD counseling, VA disability and benefits advocacy, food, shelter, employment, training, legal aid, suicide intervention, and more. 

POSITION OVERVIEW

The Director of Operations (DO) will be the internal counterpart to the Executive Director (ED), by managing the day-to-day operations of the organization. The ideal candidate will be comfortable and adept at a wide variety of administrative, management, and programming responsibilities. The DO is a multi-talented, flexible, adaptable, community-oriented, and diplomatic leader with a familiarity with LA County and understanding of the veteran community. The DO will have latitude to make decisions pertinent to strengthening the operational team and to develop internal policies and procedures with oversight by the ED and an active, working Board of Directors.

RESPONSIBILITIES

Administration

  • Jointly with the ED and Board of Directors, assure the organization has a short-term and long-term strategy to consistently and timely achieve its mission. 
  • Regularly, keep the ED and Board fully informed on the condition of the organization and important factors influencing the mission.
  • Provide leadership in the development of policies and practices, organizational systems and financial plans with the Board and staff and carry out plans and policies authorized by the ED and the Board. 
  • Maintain an NVF employee handbook and a manual of organizational policies, practices, and procedures.
  • Maintain official records and documents, and ensure compliance with federal, state, and local regulations.
  • Maintain working knowledge of developments in leadership and management.
  • Provide oversight and support to Fundraising and Development functions with database management capabilities, social media coordination, with facilitation of donor communications strategies and follow-up. 
  • Provide support to Editorial and Communications in regard to database coordination and facilitation of document production and distribution.  

Staff Management

  • Lead recruitment, employment, management, and separation of program personnel, both paid staff and volunteers  
  • Assure job descriptions, on-boarding, training, and performance evaluations are current, and that sound human resource practices are in place and followed
  • Encourage staff and volunteer development and education, and assist program staff in relating their work to the whole organization
  • Maintain a climate which attracts, motivates, and maintains a diverse staff of passionate employees and volunteers

Program Management

  • Establish clear and measurable metrics of program operations
  • Work to promote and create innovative program services and practices which fulfill the organization’s mission
  • Work to ensure high quality systems management consistent with the mission and organizational strategy for growth and sustainability
  • Promote staff leadership and involvement in program strategy, planning, development, and evaluation/quality-assurance efforts

Finance

  • Assure the NVF establishes and maintains sound financial practices
  • Provides general oversight of financial/fiscal functions of organization and provide financial status and budget reports for Board meetings
  • Work with bookkeeper, treasurer, ED and Board in preparing annual and revised budget and see that the organization operates within budgetary guidelines

Communications/Collaboration

  • Serve as an ambassador in the community and advocate by representing the organization and its perspectives to agencies, organizations, stakeholders, and the public
  • Assure promotion of the organization through events, social media, and maintenance of the website

  • Language Skills – ability to write routine reports and correspondence; ability to speak and represent the NVF effectively before groups of local affiliates, stakeholders, and the Board.

REQUIREMENTS Minimum Requirements

  • 3-5 years’ work experience in nonprofit management, office management or operations role 
  • Associates degree or higher from an accredited community college or university
  • Competency with MS Office, Google Suite, SalesForce, and other social media applications
  • Outstanding organizational skills and attention to detail
  • Action-oriented, self-starter with an ability to independently manage multiple projects and be highly adaptable to changing needs and opportunities as recognized
  • Exceptional verbal and written communication skills
  • Working knowledge and experience with the military veteran community
  • Access to a reliable method of transportation and the ability to work flexible hours
  • (including weekends and evenings as needed) to fulfill responsibilities of the position

Preferred Qualities

  • Bachelor’s degree or higher from an accredited four-year college or university
  • Excellence in organizational management with the ability to coach staff, manage, and develop high performing teams, set strategic objectives, and manage budgets
  • Experience in fundraising programs and community/stakeholder engagement
  • Experience in Human Resources regulations, policies, and procedures

Work Environment

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. The employee will occasionally be required to work remotely and have access to a workspace where standard office work can be performed. Periodically, the employee will attend Foundation programs and events held after hours or on weekends in order to properly represent the NVF.

Salary Range: $70,000 – $80,000, depending on experience
